Introduction
Membersheep enables businesses to launch digital loyalty programs with QR check‑ins, stamp cards, rewards, and analytics. This guide focuses on partners and vendors operating programs across single or multiple locations.
Use this guide to set up your organization, create loyalty cards, issue points or stamps, manage rewards, and view performance.
Requirements
- Modern browser on desktop or mobile (Chrome, Safari, Edge, Firefox).
- Camera permissions enabled for QR scanning on staff devices.
- A Membersheep partner account and optional staff accounts.
Installation & Setup
Register
Sign up via Partner Registration and complete your business profile.
Create a Program
- Define card type (stamps or points) and earning rules.
- Add reward tiers with required stamps or points.
- Upload branding assets for card and in‑store visuals.
Add Staff
- Invite staff to the staff portal and assign roles.
- Provide QR scanner access and program permissions.
Partner Manual
Operate your loyalty program with Membersheep: organize staff using clubs, design cards and rewards, and review analytics across locations.
Overview
- Access the partner dashboard at Membersheep Partner.
- Use Clubs to separate locations or teams so staff only interact with cards in their club.
- Loyalty Cards bundle rules, content, and design, and can contain multiple rewards.
- Enable Visible on homepage to showcase a card publicly; disable to share via QR or direct link.
- Staff scan member QR codes to add points and redeem rewards when authorized for the card’s club.
- Members appear in your dashboard once they earn points or redeem rewards on your cards.
- Analytics report views, points, and redemptions for a clear picture of program traction.
Create Loyalty Card
- Before you begin, create at least one Club and define Rewards.
- Date settings: set issue and expiration dates; inactive cards are hidden, expired cards remain visible with an Expired label.
- Display options: toggle Visible on homepage for public listing or keep private via QR/direct link.
- Rules: choose currency/method to calculate points from purchase amounts; optionally grant a welcome bonus.
- Design: adjust background opacity so imagery complements your brand.
Managing Members
- View recent member activity under Users > Members in the partner dashboard.
- Use the Loyalty Cards column to see which cards a member has interacted with.
- Click Delete last transaction to revert the latest points issuance or reward claim. This is irreversible and restores any points used by the reverted reward.
Staff Manual
Staff tools focus on scanning, awarding points, and redeeming rewards—always scoped to the staff member’s club.
Overview
- Staff must belong to the same Club as the loyalty card to operate it.
- Scanning a member’s card QR opens the staff dashboard to award points or redeem available rewards.
- All actions are logged for partner review and analytics.
Rewarding Points
- Scan the member’s loyalty card QR to open the points form.
- Enter the purchase amount; Membersheep calculates points using the card’s rule configuration.
- Enable Points‑only mode when staff should enter points directly without purchase amounts.
- Redeem rewards by scanning the member’s QR once they have enough points.
- If an error occurs, partners can revert the latest transaction from the Members view.
QR Code Scanner
- Allow camera permissions in the browser and use stable lighting for reliable scans.
- Position the QR squarely within the frame; avoid glare and reflections.
- Fallback to manual member lookup if scanning proves difficult.
Troubleshooting
- If scanning fails, check camera permissions and network.
- For reward disputes, review the transaction history in Analytics.
- Clear browser cache or switch devices if UI appears outdated.
